Next Saturday is looming large & in the absence of the details of the issues to be voted on & no answer to my question about any alternative ways in which votes can be registered, I have come to the conclusion that I WILL accept proxy votes for next Saturday.
 
The reason that I have hesitated is that I did not want there to be a conflict of interest should a vote be required for the proposal of me as VP. However, I have discussed this aspect with a few people & I think I have come up woth a workable solution (see 3 below).
 
I have also established that if, as according to Monica's message on the website, I am already VP there is no reason why I cannot accept proxy votes.
 
However, given the short window of opportunity & the fact that I will have to do my day job this week as well, I need to ask for your co-operation in getting the proxy votes sorted out. 

I have emailed the Rampton 100 & attached a blank proxy form. If there is anyone who has not joined the Rampton 100 & wants me to take their proxy, please PM me or use my email address if you have it.
 
If you wish me to take your proxy vote, please do the following:
 
1) Complete the proxy form with your name & apartment number & my name & apartment number (PM me if you need this)
 
2) Attach the proxy form to an email to Luis & copy to me (PM me if you need either email address) 
 
3) Within the email to Luis, please indicate what your vote would be if there is a vote to appoint me as VP.
I think this will help in showing that I am not using your proxy to vote for myself & if anyone questions it, there will be an email thread to back me up.
 
4) It is absolutely vital that I have all emails by no later than 6pm Thursday 12th June. If you can get them to me sooner, all the better.

I would like to thank the new Committee for their hard work over the past couple of months and feel we are now moving forward.  However, I made a suggestion to Seasun whilst we were out there in early May.

As we now have a "Community website" could the owners not vote on the outcomes of the meetings via Seasun or indeed, the website ie restrict voting to one vote per property or whatever it is.  

Seasun have a list of all the email/contact addresses of owners.  As Seasun are being paid as our administrators, they administrate a voting system by email/post whereby one vote via letter or email is received per property.

I'm a little worried that:

i.   logistically owners won't be able to attend every meeting so some decisions will be reached that the majority of owners may know nothing about

ii.   we aren't fully aware before the meetings of what options are being proposed so don't know what we are voting for - indeed some owners may not be IT literate or have access to computers so we can't assume they will log onto the community website to read the proposals - let alone a week before the meeting.

iii.  we don't all have similar views so giving proxy votes to someone who may have a different opinion isn't an ideal solution

iv.  we have received an agenda which is not very informative of what will be discussed/debated.   I would have hoped to see specific items listed ie

  • the future of the Spa - with regard to its opening hours, Health & Safety issues such ie children using gym equipment etc and the fact that we've only received half of what we paid for;
  • the security of the development - it appears that access is being gained outside of Teo's hours, what options are open to limit access to leisure facilities/the development as a whole by trespassers (signage threatening legal action??)
  • Seasun have been the administrators for approx 6 months - I have seen no evidence of what they have done during this time apart from regularly changing the cuotas and sending out 2 Agenda's and 1 set of Minutes?  It seems that the Presidente and Vice Presidentes are having to do a lot of work Seasun should be covering - community development issues should be addressed by Seasun when identified to them, not chased up by the new Committee including one of the most crucial elements around correct payments being collected.   We have been out to the development several times over the past 6 months and only once have we seen a rep from Seasun on site - surely it should be a regular activity to check everything is running like clockwork?

Sorry for going on, but I really want the best for the development and I'm concerned that not all owners  will have the opportunity to be heard.

I have already indicated that the full list of issues to be voted on will be provided on the community website. 

I accept that not everyone is IT literate nor will they necessarily log on to the website. However, given that those who are IT literate have been given that specific information, then one would hope that if they are interested in their community & what is to be decided, then they will take the trouble to have a look.

I think what you also have to realise & accept is that legally (Horizontal Property Act) owners need only be given 6 days notice of a community meeting so it is inevitable that information such as the full agenda is only going to be available at the 11th hour.

I have also thought that we need a better way of taking votes & I am aware of another EOS member where their community does not take proxy votes but owners indicate their preference on each topic to be voted on & provide this to the administrators.

It is still very early days for Thalassa & these are ideas that should be explored before the next AGM.

Just a reminder that I need all proxy votes forwarded to me by 6pm tomorrow at the absolute latest please.

Additionally, I sent out a list of 26 questions/issues to be voted on & I would be grateful if you could complete & forward this to me by tomorrow's deadline.

If anybody needs blank copies of either, please PM or email me & I will send out this evening.

If you have any problem sending emails through to my NTLWorld address (Mailbox is full. I have tried clearing some old stuff out but not sure if it is enough) then please use the BT one instead.

For information, as of last night I have received 41 Proxy Votes. I will send out an email this evening to all those that I have received a Proxy Vote from to confirm that it has been received & logged. I haven't been able to acknowledge every one as I would normally do due to the influx of mail that I have had since Sunday.

Final update on the proxy votes.

I have received 56 proxy votes & the questions for voting on where people have chosen to complete them.

Thanks to you all for getting them to me in good time.

I will send out an email early next week to update on the outcomes of the meeting.
