The AGM invitations were dated 19th July which is incorrect. I was in Spain from the 28th July until 23rd Aug and was informed that the invitations would not be ready until the 15th Aug. When they did not arrive by email on the 15th Aug I once again contacted Focus and was told they would be ready in the next few days. Eventually on the 20th Aug they arrived by email. By law you must receive the invitations a minimum of 6 days before the meeting so you have time to check the accounts. Surprisingly when I got home to the UK on the 23rd Aug my invitation was waiting for me. However some of the residents had not received their invitations when I checked with them on the 26th Aug. This is not acceptable and the meeting should not have taken place. I cannot see how it takes so long to produce the accounts and arrange a meeting date when the accounting year ends on the 30th June. They take up all the time from the accounting year end up to the  minimum 6 days AGM notification to produce the invitations leaving us with very little or no time to check the accounts or arrange flights to attend the meeting. Lets try once again to try and get the next AGM date set at the previous years AGM (I included this under any other business but was probably not discussed as per usual to any of my requests ) or agree to give us at least 1 months notice of the AGM date. As some of you will already know, by the email Walter sent out asking for your proxy vote, he found out the date of the meeting on the 11th Aug.

Will keep you informed if I receive any news of what happened at the AGM

Hi Everyone

The invitation to the AGM should be being sent out soon. If you want anything discussed at the meeting you will need to send your items for discussion now as they must be included on the agenda when the invitations are sent out. Hopefully I will be in Spain when the meeting takes place so will be happy to voice your opinions on any issues you may have. The meeting has always taken place in Aug and I will be there from the 28th July - 23rd Aug. 

These are the items I have asked to be put on the agenda,

1.Action to be taken against motorists who do not respect the one-way system and how the action will be enforced..

2. Action to be taken for motorists exceeding the speed limit within the urbanisation and how the action will be enforced.

3. Removal of ramps from communal roads to owner’s property. If agreed what action to be taken against those owners who do not comply with the instruction..

4. Agreement to allow owners to be trusted with additional keys for the pool.

I have a number of issues to be brought up under AOB which do not require voting on. Just general info, what are the duties of vice president, painting of grilles, modifications to property  and a few more. Just really want clarification on them so that they will be recorded in the minutes.

It also appears that all the keys for the pool has been issued by Walter. However and heres a bit of news for you I have bought No 50 and as they have always been in arrears with community fees they were never issued with a key. Strange isnt it, who has my key????

Every year after I receive the AGM invitation and the AGM minutes I contact Focus to request they send me an electronic copy by email. I prefer this method as it means I can save a copy on my computor and can access all necessary information more quickly and from anywhere. I have suggested to Focus that they use email to send everyone copies of the AGM minutes and also to use this method for AGM invitations without having to make a request every year.. Their reply has always been it is not possible to do it you must make the request every year. Surely it is a simple procedure to put a prefered method of communication next to each owners name and address.

Electronic copies would cut down on postage and the time it takes for it to be delvered, allow owners to store and retreive all community paperwork quickly and easily and it would also ensure we received all necessary paperwork as in the past there have been a number of occassions when some owners  have not received invitations until it was too late and sometimes not received them at all.

I travel quite a lot and find it very frustrating when I get home and find an invitation to a meeting that has been and gone.

Any thoughts on how we can get Focus to use email as the preferred method of  communication for those owners who wish to adopt this method.
